A few days ago, I put the finishing touches on a video I created about our new Fax Gateway. The purpose of the video is to show how easy it is to configure the gateway to send and receive faxes. The idea is that you would put this between your Fax Server with a Dialogic SR140 and the phone lines. It turned out to be so much easier than I ever expected to configure. I assumed that most of the time of producing the video would focus on figuring out how to configure the gateway, but that part turned out to be very easy. The tough part was figuring out the right export settings from my video editor. I had better document the process (and might as well do it here) so that I don’t forget next time around.

It started, as it always does, with a script. I thought about what I wanted to cover and tried it out on the gateway. After going back and forth between VMWare and notepad I finally came up with a script I thought would work. Now it was on to VMWare Workstation and Camtasia Recorder to record the screen portion of the video. I like to keep the audio separate from the video during recording mostly because I have a hard enough time remembering what I am supposed to click on without having to sound intelligent. Since YouTube has a limit of 10 minutes per video, I needed to edit down my 30 minutes of video down to something more usable.

I used Camtasia Studio for this first edit. I like to edit out the time between each keypress during user/password entry, remove the seconds where I am reviewing my script to figure out what’s next, etc. Also things don’t always work out in the recording and I have to edit out the workarounds. While doing that, I also edit the script so that it still makes sense. At the end of all that I had about 4 or 5 minutes of silent screen capture video.

Going into this I knew I also wanted to capture video of three sides of the physical gateway. So I took over an office with my little GH1 full HD video camera (for those who care, with a Nikon 50mm/1.4 and 20mm/2.8 lens attached to a Gorillapod). Those hands you see are mine.

Next I created some slides for the intro and outro in PowerPoint 2010. PowerPoint allows you to export to video, but I thought it would be best if I exported to PNG files.

The final step in gathering source materials was to record the audio. You can find out more about my search for the right tools for recording audio in my previous post on the topic on my personal blog: http://technovangelist.com/blog/how-to-create-a-good-screencast-and-preso-in-camtasia.html. Basically the configuration is almost the same, except I am using the Zoom H4N as a mic for my MacBook Pro. Also, instead of Audacity, I am using Adobe’s SoundBooth (whose PM happens to be someone I used to work with at PCDocs and CMSData in Tallahassee, FL about 20 years ago). There is a limiter and compressor in there to make the audio sound pretty good.

Now that I had source materials, I could start editing it all together. This took the longest, mostly because it is a brand new thing for me. In the past I have used different tools like Vegas and Premiere Pro. I tried an eval of Premiere Pro on the Mac, but like most Adobe CS4 products, the PC version is far more usable even on older equipment. I tried iMovie on the Mac, but there were several things I wanted to do that were difficult. After a few visits to a local retailer, I decided that Apple’s own Final Cut Pro was the easiest for me to work with without giving up on features.

Editing in Final Cut Pro is surprisingly easy. There is a lot that I don’t know how to do yet, but I see how I will grow into the package. Now if only it weren’t so much more expensive in Europe than in the US but that is the case with everything and I am getting used to it. The stumbling block with FCP came when I started to export it out to a file I could upload to YouTube. Everything I tried seemed to take 40 minutes to export at 7 minute video and resulted in a file 1GB or larger. It wasn’t until I stumbled on this post on the Vimeo site that I started to clue in to how to do a more efficient encoding. The actual settings I used were option 2 on http://eugenia.gnomefiles.org/2007/12/08/exporting-with-quicktime-in-720p/.

Now I had a working video I could easily upload. But then a snag. I had asked a day earlier if anyone had some pictures of some of the other gateways. Due to the differences in time zones, the pictures didn’t get to me until late that night so i didn’t see them till the next morning. I knew I wanted the images in there so I started figuring out what the right place for them was. The photos were taken on a light background, but not completely white. Using Photoshop and Topaz Remask2, I was able to quickly create a great looking mask so that the pictures looked like they were taken on a pure white background. A quick edit in PowerPoint gave me the slide I wanted and FCP allowed me to easily just plop the slide into the right place. The result is perfect. Within 20 minutes of seeing the pictures for the first time, I was able to start the upload to YouTube.

I think the resulting video looks really good. There are a few things I will do differently next time though. Better lighting on the live video shots will be needed. A closer sync of audio to video is also needed. Hmmm, now what is that next video going to be???

When I came in today, a colleague asked me a bizarre question. I had to think about it and as we discussed it, several others joined in giving their own opinions. All of us had differing opinions on what would happen. Naturally of course, I knew that I was correct and they were all wrong, but I wanted to be able to prove it. First, let me tell you what the problem is:

There is a customer who is synchronizing their users from Active Directory into Rightfax. Now many of the users are only working for a short time then they leave. Sometimes they don’t leave but move to a different part of the organization. So what happens to that Rightfax user when they are moved in AD from one group to another? The customer has several Sync Mappings targeting different groups and each mapping defines a special coversheet, group membership, etc. When the user is moved to a different AD group, is there a way to get the new RF group membership to be applied?

What do you think? Some of my colleagues said no, there was no way to synch that AFTER initial user creation. One said that a second user would be created even though they were the same user.

Well, the answer is both yes and no. Using the standard way of configuring the Sync Module, the answer is no. But after spending about 30 minutes looking into it using only publicly available resources (well, public for registered users), I found a solution. But before I go into the solution, let me tell you why the standard answer is no.

The Sync Module is part of Rightfax that synchronizes users from Active Directory or LDAP to Rightfax. For more information about the Sync Module, see my previous article on this topic. There are about 12 standard attributes that are synched from AD to Rightfax. But group membership, coversheets, etc are not in that list of 12. For those things to be set, the standard answer is to set them in a special default user for that mapping, and then all of those details will be set. But that default user is only referenced on initial creation of the Rightfax user.

So here is how to solve this problem. Before actually attempting anything like this, test on a non-production system. In order to set anything after the initial user creation, you have to edit the XSL document that defines the mapping. Now that may sound scary, but really its not. Here is the entire process I used to figure it out:

1. First go to the directory that contains the XSL files and make a copy of one of them as a starting point. The directory is going to be CapaSync\config off of you Rightfax program directory.
2. Open the file in an editor. I happen to use PSPad, but notepad would be fine as well. Find any existing line that starts with <xsl:template. Insert this on the next line:

   <attr name=""> <value></value>  </attr>

3. Now we need to figure out how to fill in the details. I want to use this to synchronize group membership. All the users in one AD organizational unit will be a member of one RF group. Members of another OU will be a member of a different RF group. What I need to find is the attribute to use to set the RF group. The list of all possible attributes lives at this page on the Open Text Knowledge Center. Login using your credentials to see the article. If you don’t have the rights to see the article, then contact your Open Text representative to organize those rights.
4. I can see that the only item that starts with the word Group is GroupID and that the value will be an integer. So now my XSL has become:

      <attr name="GroupID">   <value></value>   </attr>

5. I still need a value to use. I took a look in the database to see what my choices were. While waiting for SQL Management Studio to open, remember this. DON’T WRITE ANYTHING TO YOUR DATABASE!! Reading is not a problem, but writing to your database means breaking stuff. Inside the Groups table I could see a few things that might work. The most obvious was a column called GroupID. This was the actual name of the group. By the time I saw this, I had forgotten about the need for the value to be an int, so I tried it. Nothing happened. In the event log I saw an error saying there was a conflict with the column ‘handle’. That’s when I remembered the need for an int. Well, the handle column contains ints and its usually how we refer to objects in Rightfax. So I tried that.
6. The handle for my first group was 100663298 so my XSL now became:

      <attr name="GroupID"> <value>100663298</value> </attr>

Guess what, this worked. I then made a second copy of the XSL file and set up a second GroupID. Soon after I moved a user from the first group to the second in AD, the group membership in Rightfax changed as well.

The real secret to get this to work is finding the right value in that KC article, then putting a value in that it expects. A little trial and error and you should have a more customized XSL that works for your needs.

Recently I got the following comment on Twitter, regarding my post on building a custom MMC for building Alchemy databases remotely:

Can the mmc trick be implemented to add db’s to Alchemy Server instead of havin to do it manually? or, can it be automated?

The problem is that albatch can only really do what the Administrator application can do. The only real way around that is to use the API, and specifically the AuServerApi. You can use this in whatever language you like. Perhaps Powershell is convenient for you, or VB/VB.Net, or something else. I like to use C# with the Alchemy API. So below is some code for creating a database and then adding it to the Alchemy Server. I wrote this a few years ago for the Captaris Partner Conference in Kuala Lumpur, Malaysia.

As you can see, actually adding the database to the server is as simple as connecting to the server and then calling AddDatabase.

One of the most interesting sessions for me was about coming up with Dial Plans that work. When I cover the comparable feature in Rightfax I do it in one of two ways. Either I go in some detail of a US company and how they can benefit from the feature, or I go into minimal detail about that fictitious company and focus more on the features and options available to you inside dial plans.

This presenter spent 2 hours showing us all of the problems that can come up when you design dial plans for a large company and gave us some strategies for solving those problems. He went deep into the decision process for coming up with a solution when there was significant overlap in digits across the different offices of the company, and emergency services in different countries, and all sorts of other things. What I found most interesting wasn’t the content, but how he presented the content. They were some pretty complicated slides, but I thought they got the message across extremely well.

I think when I get back to Amsterdam on Friday I’ll have to start rethinking how I present that section of the course to cover all the problems I hadn’t thought of before. Plus I learned about an interesting way to get feedback mid-session using a giveaway. And I happened to win it: the incredibly impressive 2010 edition of the Official Cisco Dial Plan Planning Tool Set…Yes, I am still glowing.

One of the questions that sometimes comes up in class is about the security of the network connection between FaxUtil and the Fax Server. Some companies are generally not concerned about securing the connection to the Fax Server since it is inside the firewall and the company’s employees are trusted. Other companies need to know that all communications between every individual and server is completely secured and encrypted.

Open Text Fax Server supports two methods of securing communications from FaxUtil to the Server. You can see both of these when you go into FaxUtil, close the connection, then choose to open a new connection. There is a dropdown for protocol and the two choices are TCP/IP and Secure TCP/IP.

If you choose TCP/IP, which happens to be the default, all communications between the server and the client will be over port 10520 and most of it will be sent in plain text. What does plain text mean? Well if you use a tool to view all the messages that go across the wires, you can see the plain text messages and read them without the need for any special training. Its all right there in the open.

Before you start to panic, much of the traffic over the internet is sent in plain text. You know all those messages you send to friends using MSN Messenger? Plain Text. Oh, you use AOL Messenger? Plain text again. Yahoo Messenger? Yup, plain text. In fact most of your web viewing is done in plain text. The reason why that is often the default with so many network applications is that it is simply more efficient than the alternative.

What is that alternative? Well, there are many choices when you get down to the nitty gritty details, but they are usually out of your hands. The developers of the products you use decided what was the best option. But the communication is basically just encrypted in a way that only the recipient and maybe the sender can understand it.

A couple of paragraphs ago, I mentioned that you could use a tool to see the traffic as it goes over the wires. There are several tools available, including some that cost quite a bit of money. But two of the best are both free: Wireshark and Microsoft’s Network Monitor 3. I use Wireshark a lot, especially when working with Fax over IP. You can get it from http://www.wireshark.org.

When you open up Wireshark and start what is called a trace, you will probably get overwhelmed with information. An easy way to filter this down is to type DCERPC into the filter box at the top. This will configure Wireshark to only show you the RPC messages being sent over your network. To filter it down further to only RPC messages going to and from your computer, type this into that filter textbook: dcerpc && ip.addr==10.9.8.1 (replacing 10.9.8.1 with whatever your IP address is).

I am running Wireshark from the server running the Fax Server. I have FaxUtil running on a different machine. I have one user I created with a password that is not linked to an Active Directory user. So I start up a Wireshark trace and enter my filter text. Now switching over to the FaxUtil PC, I try to start up FaxUtil and enter my credentials. Now back over in Wireshark, here is what I see about 15 lines down from the top.

I logged in as Administrator and the password is thisismypw. But you knew that because you can see that plainly in the trace. Kind of scary, isn’t it?

There are two easy fixes for this. First you can switch over to using Secure TCP/IP from FaxUtil. This will encrypt the messages between the server and the client and use port 10521. Here is the comparable packet after turning on Secure TCP/IP. There is no way I can read that and I am pretty sure you cannot read it either.

So why don’t we encrypt all communications by default? If its so easy to make these communications completely unreadable, surely there must be a reason not to encrypt it all. Well, there is a bit of a reason. It adds a bit of overhead on the network. In a brief test while writing this post, I saw that the overhead was about 20 percent. For some bandwidth deprived networks, 20% overhead may be a bit too much. But if you have the bandwidth and you don’t have users linked from AD, then definitely turn on that feature.

I mentioned there were two ways to configure Rightfax to not send passwords in plain text. The first is Secure TCP/IP. The other is to link your users to Active Directory. This bypasses the need to transmit passwords completely. Instead, we are able to see who you are logged in to your Windows client as. If you were able to log in to Windows, then we make the reasonable assumption that you must be that person. If that person is linked to a specific Rightfax user, then it is that user’s mailbox you will see in FaxUtil. There is no 20% overhead in network bandwitch and no passwords are sent in plain text.

I remember a few years ago, a student in New Zealand asked me if I could help them with a bizarre request. They needed to have several groups of users in the organization with different fax settings. Now that’s not all that weird on its own, but they wanted all those settings to apply automatically as soon as a new employee started working at the company. Since then, I received similar questions from students around Asia, Europe and every where else I deliver trainings. It’s a common request and it seems that many people don’t know that what they are asking is a built in feature of RightFax.

The magic of that functionality happens in the module called the Captaris Sync Module.  Its really pretty easy to set up and once initially configured, it just works without much additional involvement. The step that most people don’t realize is possible is that you can create multiple groups of synchronized users.

Before I show you how to set this up, let me show you a portion of my Active Directory. In the screenshot on the left, you can see an organizational unit I created call AllUsers. Within that OU, I have other OUs for It, Marketing, and Sales. Each of those OUs have a couple a users defined. What I want to do is set up synchronization so that the users in each OU get a different cover sheet, general fax number, and other settings.

Back on my RightFax server, I have double-clicked on the Sync Module in my list of services in Enterprise Fax Manager. That brings up the configuration dialog shown here. When you click the Sources & Destinations button, you can enter each place you want to grab users from, and where you want them to go to. At first it seems that this has a bit of unnecessary overhead, since it may seem obvious that you want to bring users from AD to Fax Server. But the fact that you have to specify this allows you to create multiple synchronization groups.

I’ll create two sources and two destinations, entering a name Sales and Marketing for each pair. The result can be seen in the Sync Sources and Destinations window shown on the left. When you create these, you’ll see that you can also create LDAP sources. LDAP, in case you aren’t familiar with it, is an industry standard directory server technology that many companies have implemented. In fact, Active Directory is also an LDAP server, but as with most standards, they look better on paper than in real life. Although it’s a ‘standard’, most LDAP providers don’t actually agree on how to implement the technology. The flavor of LDAP that we are tuned to out of the box is Lotus Notes LDAP, but its easy to tweak that if you are familiar with LDAP.

Once you have your sources defined, you create a mapping that tells the Sync Module which source and destination to use together. I’ll link the two Marketing items together, as well as the two Sales items. Click on Browse to show the different types of mappings we support out of the box. To tweak one of the mappings, you can use a text editor to modify the XSL file. There is an option on that dialog to set your schedule. For this environment, I am choosing Continuously. You should experiment in your environment to see what works best for you. The current synchronization tool is much more efficient than previous versions, but depending on the hardware used, number of users in your AD, and other factors, you may have to limit your schedule a bit. After you add your two pairs of mappings, you’ll see them listed under mappings and you’ll see two new tabs for each pair.

When I go to the AD – Marketing tab, I can choose which users I want to bring over. I want to make sure I specify that only the Marketing OU is going to be synched. In my AD, I have 2 users per OU, but in a real-world OU, its not unusual to have hundreds or maybe thousands of users in an OU. Lets say that you have 100 users in Marketing. Half of the users are on Exchange 2010, and the other half are Lotus Notes clients. You could have a group called Exchange users, then choose to include that group or exclude it. If you choose to Include or Exclude groups, make sure that the groups have the users as direct members. We won’t see users that are members of sub-groups.

Now switch to the corresponding RF tab, and fill in the Rightfax server to add users to. You also want to an administrator to use to create the new users. On the Users tab under RF-Marketing is where the real magic is configured. When you create users in EFM, they will be created based on the Default user template. But in the sync module, they can be created based on any user you choose. I created a Marketing Default as well as a Sales Default. Each of these default users have different cover sheets defined as well as other settings such as permissions.

Now click OK and within a few seconds, I see new users showing up in EFM. If you go to edit those users, you will find the cover sheet and other settings have all been configured as you expected.

I don’t know of a limit to the number of pairs you can have in this tool but you probably won’t reach it. This can be a very useful tool to use in many different implementations of RightFax and I look forward to hearing about how you are using it at your company.

When I first started learning about Voice over IP (VoIP) and Fax over IP (FoIP) I kept on running into the terms FXS and FXO. I would search on Google to learn all I could about these terms but it seemed the more I read the less I understood. As a result I think it might be worthwhile to discuss how these interfaces are used and their relevance to an Open Text Fax Server implementation.

Why should we care about FXS and FXO in the first place? If you have looked at media gateways to install in your VoIP network you know that they will probably have a T1, E1, BRI, FXS, or FXO interface. These interfaces are used to bridge between your IP network and the PSTN. Most of us have heard and dealt with T1, E1, and BRI but may never have heard of FXS, FXO. While you may not have heard of these interfaces we use them every day.

Let’s start with FXS. FXS stands for Foreign eXchange Subscriber and in the simplest sense is the jack on the wall you plug your phone into. When we plug an analog phone into an FXS port we should hear dial tone when we pick up the receiver. That is because we will receive battery. In the case of a media gateway this is where we could add an analog fax machine into our FoIP environment.  I have included a graphic to illustrate an FXS port in a VoIP environment.

So what is FXO? FXO stands for Foreign eXchange Office and is the connection between your device and the telco. If you have a media gateway with FXO ports you would connect these ports to the jack on the wall that is connected to your telephone company. You might also connect the ports to your internal PBX. The FXO ports do not supply battery. We can think of the RJ11 jack on your analog phone or fax machine as an FXO port.  I have included a graphic to illustrate how an FXO port might be utilized in a VoIP environment.

So, how specifically would FXS and FXO ports be utilized in an Open Text Fax Server environment? If you have analog phone lines and wished to utilize FoIP to send and receive your faxes you would purchase a media gateway that has FXO ports. The FXO ports would connect to your telco or PBX. When you sent a fax from the Fax Server it would connect to the media gateway via a SIP or h.323 connection. The gateway would then make a connection to the remote fax machine via the FXO port connected to your telco or PBX and the fax will be transmitted. How the fax is translated from IP packets to an analog signal is a discussion for another blog.

How rude! How dare he ask me to explain what I was pretending to be able to explain. Nobody else bothered to ask. Dho!

I didn’t know how the Shared Services Module worked. I didn’t even know why people might  care about it or buy it. All I knew was that I wasn’t going to talk about it anymore until I had a better handle on it. At least not to that guy.

If you don’t necessarily fully grasp the key Shared Services Module concepts, then I hope to help you understand before you’re asked to explain. To accomplish this, I wrote a blog entry with lots of diagrams. So many pictures, in fact, that it would have taken up way too much space here.

Support Technicians: Typically have a good grasp of the fundamentals, techniques and usage of a project. They are great at finding resources and providing documented solutions to issues that end users, and even administrators, may not have been able to find on their own.

Support Engineers: They are the ones who find solutions to issues that are possibly not documented at all. They must be able to take a product and reverse engineer it to determine what is really happening beneath the hood. Because of this process of dissection and analysis, they are able to develop instincts of how the product works and therefore are able to come up with creative solutions that a technician may never even consider.

Seven years ago I was a confident and utterly bored Microsoft jock who was eager to break-free from the world of Microsoft-based computing and explore the wizard-less and GUI-free technologies that occupied the other side of the IT universe. My first step onto the other side was job at Captaris (Now OpenText) where I was hired to provide technical support for a product called RightFax (now known as Fax Server). Many of the products and technologies that RightFax integrated with (e.g., Lotus, Novell, and telephony), were for the most part, new to me and of great personal interest. However, despite my interest and eagerness to learn, I must admit that for a brief time I questioned whether trading the green fields of Microsoft for a seemingly decrepit technology (fax) was a wise career move. I mean, the most of us know that fax is on the fast track to extinction, right?

Endeavor to Persevere

The term facsimile (i.e., fax) is derived from the Latin phrase fac simile, which when loosely translated means to, ‘make a copy’. The advent of fax is traced to the year 1843 when the world’s first fax transmission took place. While the technology and protocols have changed many times since that first fax, its fundamental concept of capturing, encoding, transmitting, and receiving viable copies of documents and data remain and thus make it one of the world’s most popular (and secure) means of document delivery.

Although fax has many benefits, none are perhaps more important than its classification as a legal document. Simply put, signed documents (e.g., mortgage contracts) that are transmitted via fax are considered by most countries to be legally binding whereas documents received via e-mail are typically not. Moreover, fax provides a simple and effective means of achieving compliance with industry standards and regulatory mandates, such as Sarbanes-Oxley (SOX) and the Health Insurance Portability and Accountability Act (HIPAA).

Organizations that typically employ fax to deliver legal, contractual, or otherwise sensitive material include:

• Financial institutions
• Insurance companies
• Health organizations
• Government offices
• Law firms

In the coming months, my colleagues and I will use this blog to elaborate on this and other topics that help make fax an enduring and ever-evolving technology.

I have been working with the company for a little over six years now. I started out providing technical support so I have a pretty good idea what it is like to have to come up with solutions when there is nothing available. Before working at Open Text, I did technical support, and training, for Lucent Technologies as well as with Microsoft (working with Windows 95/98/XP). I am now a senior technical instructor in Tucson, AZ focusing primarily on fax servers and messaging.

I have a Bachelors in Information Technology, a Masters in Education (with an emphasis in instruction and curriculum design) and am currently working on a Masters in English (with an emphasis on professional and technical writing). As you can tell, I value education a lot and getting excited when others do too. That is why I think this blog is so important.

With that fairly lengthy introduction and if the majority of you (our partners and customers) are faced with this challenge then how do you get the training required to do your job effectively? You still need to gain the knowledge and skills right? Isn’t technical training best delivered in a classroom setting? How can you possibly learn anything unless you can physically be in the same location? All great questions and we are here to help! We have modified our delivery approach over the past 24 months and now offer a couple of great alternatives and delivery methods to supplement traditional classroom training. It’s important to note that we do still offer classroom based courses but only in select regions so it’s important to check the schedule.

1. Virtual Classroom. There are many different names for it; Virtual classroom, Instructor online, Instructor web conference, etc… Bottom line, this is the most effective approach to bring the classroom experience to your browser and phone without the travel and related expenses. The tool we use is a proven and market leading web conference tool that has training functionality built in:

• Interact and ask questions of the Instructor as you would in class
• View the Instructor presentation and demo of a particular product function or lab exercise
• Follow along in the training manual and related materials
• Log on to an actual virtual machine instance of the software for that invaluable hands-on practice

2. eLearning. Again, many different names; online learning, self-paced, web-based training, etc. This training is available to you on your schedule and at your pace. Again, the benefit here is that it’s available to you now and at no cost!

If you don’t believe I’m a nerd, consider this. In 1987 I was programming databases for a contractor at the NASA Ames Research Center, and received a small bonus. I knew exactly how to spend it, I’d been dreaming about only one thing for months. I bought a copy of Microsoft Word version 3.0 for DOS and, yes, of course I got the 4.0 upgrade later that year. These days, I have my eye on the HTC Touch Pro 2, arguably the hottest cell phone out right now. iPhone people please do not panic, I said arguably. Either way, I need something new, my current cell phone is from (gasp) April of 2008!

Between 1987 and today, I’ve been a database programmer, a DBA, an IT manager, a C++ programmer, a technology magazine editor, and was even a part-time radio DJ for a year. I have been with Open Text for four years now and I love my job. In addition to writing, I get to work with a lot of exciting technologies on the Open Text product side and on the training content development side.

While I have plenty of blogging ideas, I would toss them aside for reader suggestions so feel free to tell me what you want to hear about. If you have any smart(ypants) phone recommendations, pass them along too.

I know you are thinking to yourself, what an exciting title to an entry, so enticing. I couldn’t think of anything better. Maybe I could have called it “From tiny RAM to Technical Trainer (see below) in 17 years”, but I like to be concise. So for now I think introduction to Adam will work. It is concise and to the point.

I am Adam Friedmann and have been around the many iterations of the company for 11 years. Some may argue however that I have only been here a year as I took a brief 2 year hiatus to start my own company. During my tenure with the company I have delivered training on Open Text Fax Server (RightFax) since version 4.2. In addition I have delivered training on Open Text Document Server and other sundry products.

Prior to my employment with Open Text I spent 3 years as a trainer with Lumisys. Lumisys made a number of products for the Radiology community and a few pieces of vaporware as well. Working for them was for the most part fun and at times challenging.

I began my career in the software industry with a company called Artisoft. For those old enough you might remember their product Lantastic, which was a popular peer to peer networking platform prior to Windows 95. Our mascot was a Ram (a sheep not the stuff that goes in your computer) because we said our networking stack took so little RAM on your computer. Oh for the days of computers that maxed out at 640K of RAM.

Believe it or not I have additional interests outside of faxing. I have a 17 year old son who is a senior in high school and every day provides many fun challenges and excitement. He marches in his school’s band and I get the joy of supporting him by being the band parent president.

I hope that as you follow my posts you will learn unique things you never knew about our products. I think it is vital to constantly be engaged with my students and our customers to better understand how our technology is utilized and bring that back into the classroom (or webex as the case may be).

Our purpose of this Learning blog is to expand the learning experience beyond the individual training sessions that we deliver. My postings will be specific to our strategy and approach to solving ongoing business challenges.

The way we all learn today is new and different from the traditional methods. Our goal is to make sure that what you’re learning from us today is sustainable and relevant to being more successful in your role.

Did you know that you can create a custom management interface for pretty much any Windows application with zero coding? Did you realize that you probably already have all the tools needed to get this done on your Windows workstation? Well you do, assuming your version of Windows was created in the last 10 to 15 years. The Microsoft Management Console, or MMC, was first made available for NT4 and Windows 9x and is the framework on which many built-in and 3rd party management tools are based. Open Text Document Server, Alchemy Edition ships with a few MMC-based tools, including the Server Console, and the Web management tools. The reason I am tell you about this is that it was the solution to an interesting issue a customer asked me about recently.

You see, they had a decent number of people who would be contributing information to an Alchemy repository. But after the training I delivered, they realized that the Administrator application gives those who use it a bit too much power, especially when it comes to completely destroying a database. The problem is that the Administrator is the only client application that can initiate a Build. So if they end up using Index Station for most of their users, how do they trigger a Build?

At first I suggested Scheduled Tasks. You can create a task that saves credentials and then can be run from the command line. The command I was going to run was albatch, which is a command line driven tool that comes out of the box with Alchemy. Unfortunately I couldn’t get albatch to work on a remote machine. Even with a SysInternals tool called psexec, I still couldn’t get anything going. So that’s when I remembered the MMC approach. I’ll explain both psexec and albatch in more detail in a short while.

My first experiment with MMC was when I was in the Education Marketing Group at Microsoft. I spent a good deal of time building cool demos of the technology that was part of Windows 2000. One of those demos involved allowing a group administrator or receptionist to reset the passwords of the workers in their group. That’s a function you can perform from Active Directory Users & Computers, but that’s a pretty daunting tool to use. If you create a new MMC and add the AD U&C Snap-In, you can drill down to a specific group or OU. Once there you create a taskpad when displaying a list of users, save the view and you have a custom password reset tool that can cause no extra problems. You can create this tool from scratch in less than 2 minutes with zero coding. I think that is pretty cool.

The tool I wanted to create for Building Alchemy was the Alchemy Builder Console, with one button each for building the databases in my environment. Here is a picture of the console configured to build just a single repository.

So how do you create this? Well, I am glad you asked. The first step is to launch MMC. Close the tree and maximize the main window. On the Menu bar, click Action and choose New TaskPad View. For this simple MMC, I like to use No List for the style. Next your way through the rest of the windows, giving the MMC a name along the way. When it comes to creating the first task, choose Shell Command. This tells the MMC that when you click on the button, you are going to run a command at the command prompt. So what is that command going to be?

This is where psexec and albatch come into view. Albatch comes with Alchemy and provides command-line access to many of the features of the product. The parameters are as follows:

albatch <database-path> /<command> <other-parameters>

So to build a server controlled database called Total on a server named Server, I need to run:

albatch alchemy://server/total.ald /build

That command works fine if you are on the server, but I need to run it from a remote PC. To run the command remotely, I can run psexec which is in the pstools suite from SysInternals.

In case you haven’t heard of SysInternals, go to their site now and read about all of their tools. Every single one of them is useful. As you can see in the screenshot below, psexec allows me to run an executable on a remote machine. Since I will be running this MMC on other PCs, I need psexec to be able to access albatch on the server.

Of course, you can’t run any command on any machine on your network without a valid username and password. So I created a local user on my server called albuilder. With that in mind, the command I used to run albatch is:

psexec \\server /u alcbuilder /p password "c:\program files\captaris\alchemy\albatch.exe" alchemy://server/total.ald /build

If the program completes with an error code of 0, you know that it ran without any problems. Now that i have a valid command, I can plug that into the shell command dialog in the MMC. To get the screenshot about, I went to the View | Customize window and turned off a few features. I also went to the File menu then Options. From there, choose User Mode Single Window and give the console a name. You can also change the icon if you want.

The video also shows how to create a custom Event Viewer, as well as a modified Alchemy Server Console that allows you to pick a database from the list and then click the build task. It uses the parameter parsing features of batch files that I had never seen before.

My name is Matthew Williams and I am the International Trainer for this team. The blog you are reading is a place for us to share what we are up to. Our intention is to post at least every week and hopefully even more often on all sorts of topics. And its not just me who will be posting. I am sure each one of them will be posting over the next few weeks with a short bio, but I’ll get the ball rolling with my own little blurb. I have been with this company for about five years, coming to Open Text with the acquisition of Captaris. I started out as a Sales Engineer based in San Francisco and then moved out here to Amsterdam to become a trainer over four years ago. Before that I held a bunch of different roles at Microsoft working out of Redmond, Washington. In fact, I was amongst the first five or six Microsoft Bloggers identified by Mary Jo Foley to watch. Prior to my time at Microsoft I held similar roles at NetObjects and PC DOCS (now Open Text), and performed outsourced marketing functions at Sun, Oracle, IBM, Intel and many others.
